PA to the MD and Senior Management

We are recruiting for a PA to the MD and Senior Management.  The function of this role is to provide PA support to the MD, Directors and Exec Senior Managers across departments within the scope of the position in a highly professional manner, to administratively support the drive and growth of direction and improvement goals that the company maintain. Company Structure 

The PA to the MD and Senior Management reports directly to the Managing Director. 

PA to the MD and Senior Management – What we require from you (outline; not exhaustive)

  • Daily monitoring of e-mails - flagging and responding on behalf of MD and FD as and when required
  • Responding to the administrative needs of the MD and FD in a timely and efficient manner
  • Collating monthly expense claims, processing invoices, handling and processing a variety of time-critical and confidential documentation
  • Organising company presentations and quarterly meetings
  • Preparing reports for Board Meetings and putting together meeting packs
  • Producing presentations, spread sheets and other documentation as required
  • Extensive and complex travel arrangements - booking flights, transfers, accommodations this will also including preparation of travel documents
  • Organising events; lunches, corporate hospitality; liaising with our caterers and events team or at times arranging external events independently including some for up to 400+ people
  • Management of the company lease and pool cars
  • Filing and administrative tasks and handling telephone calls and messages
  • Excellent Communication skills from shop floor to board level
  • Complex, demanding and ever changing diary management; managing appointments and a variety of other internal and external meetings

PA to the MD and Senior Management – Requirements

  • Proven work experience as PA to the MD and Senior Management or equivalent role
  • Adequate knowledge of business principles
  • Familiarity of working in a manufacturing, production, engineering or technical environment would prove beneficial in this role
  • Can-do attitude and proactive; with a strength of confidentiality
  • Ability to prioritise workload effectively whilst managing expectations
  • Outstanding efficiency and attention to detail
  • Confident using PowerPoint and Excel

PA to the MD and Senior Management - Package

  • 36.25 hours per week with flexitime – company rule specific
  • Relocation Package available, including relocation from within the EU – either single or accompanied by dependants

Due to the nature of the business, the incumbent should be aware that under special circumstances (e.g., breakdowns, outage periods, etc.) longer working hours or working over weekends/holidays might be required to fulfil the duties of the role.
