Despatch and Shipping Coordinator - 12 month FTC We have an excellent opportunity for a Despatch and Shipping Coordinator to facilitate the delivery of finished goods to worldwide customers in a timely and cost effective manner and maintaining our detailed administration systems. The Despatch and Shipping Coordinator reports directly to the Lead Shipping and Customs Coordinator on a day-to-day basis. The role sits within the Sales, Shipping & Marketing Department.

Despatch and Shipping Coordinator - Main tasks, duties and responsibilities will include:

  • Providing support to the Lead Shipping and Customs Coordinator and Commercial Section Leader, with focus on overland and deep sea shipments
  • Daily contact with customers and logistic companies by telephone, email and fax
  • Liaising with the Sales and Planning departments to confirm customer schedules and priorities
  • Handling bookings with transport and logistic providers to achieve required delivery dates
  • Inspecting and verifying bookings and loading documents received by the logistic companies
  • Accurately generating despatch and shipping documentation in a timely manner including customs clearance and export documentation
  • Liaising with Operations departments to ensure accurate and timely loading and containerisation of finished material
  • Checking, generating and distributing customer invoices
  • Arranging internal/external collection of reject materials and empty packaging
  • Assisting with the maintenance of the shipping document/ commercial data filing system
  • Providing telephone reception and cover for Sales
  • Assisting the Lead Shipping and Customs Coordinator and Commercial Section Leader in controlling stock levels
  • Liaising with transport and logistic providers to achieve required delivery dates

Despatch and Shipping Coordinator - The successful candidate will need:


  • A sound knowledge of shipping documentation and customs procedures evidenced with Chambers of Commerce training
  • Computer literate; Microsoft Excel, Word, Outlook and business systems
  • GCSE in Math’s and English at grade A – C / 9 – 6; or equivalent demonstrated skill level
  • Commercially aware with a careful, professional and respectful approach to customers and service providers
  • Good oral and written communication skills with a confident and friendly telephone manner
  • Good listening skills and accurate recording of details
  • High degree of accuracy and consistency with experience working to strict deadlines
  • The ability to work well in a team environment, building positive and trusting relationships


  • Experience with customers, freight forwarders and transport companies, particularly purchasing and accounting departments
  • Experience working within Sales and Planning, Finance and Operations teams in a manufacturing Company
  • Relevant qualifications at NVQ Level 2 or similar in business, customer service, sales administration


Despatch and Shipping Coordinator - Package

  • Monday - Friday - 36.25 hours per week - Flexi Time
  • Competitive Salary and 25 days’ holiday
